Start your goal of press coverage for your Red Hat Society
event by compiling a list of media companies you would like to invite. This will help you check off which companies you have contacted. Write down their names, addresses, phone numbers, and other contact information.

Then send the media companies, and their editors, an invitation to join you at your event. Send out the invitations at least two weeks before the event. This will help keep your event looking credible, and is a nice gesture of goodwill.

A week after you have sent them the invitation do a follow up. Re-send the invitation to your main media targets, and don’t send the invitations to the editors this time. Fax over a press release with all your event information on it to help the beat reporter plan their story.

You can also call the media companies directly. You can call and explain the event, and they will be able to tell you if they are interested or not. This may be a good option because you will be speaking to them directly and will know immediately if they are interested or not.

Even if the event is being covered by one media company, you should still try to have others. The more coverage of the event, the better. Try to get as much advertising of the event as possible.

Let your Supporting Members help you in contacting the press. They can make phone calls, fax over information, and email answers to any questions media reporters may have. They can still lend a lot of support, even if the press won’t personally be attending your event.

On the day of the event greet media guests as the arrive. Be sure they have their proper name badges and are directed where they should be located. Treat all reporters and media personnel with respect.

If a meal is going to be provided pay for the media member. Remember that they are your guest and should be treated as such. When the event is over, always follow up the event by sending a thank you note to all the media companies that attended.
